HR Team / Administrator
The HR Team/Administrator monitors the Booking Order Kanban module. They oversee the entire process, ensuring that booking orders move smoothly through each stage, from Draft to Completed or Cancelled, and address any issues that arise.
1.1 Booking Order Kanban
The Booking Order Kanban module is used to manage and track the status of booking orders through various stages. Each booking order contains detailed information including collection point, creator, customer, expected and actual times, last update details, receive date, and status. This Kanban module helps streamline the workflow and ensure that all team members are aware of the current status and next steps for each booking order.

The report for the Booking Order Kanban module is structured into several status columns, each representing a different stage in the booking order process.
Draft: This column contains booking orders that are still being prepared and have not yet been finalized. Users can add new booking orders in this stage.
Submitted: Booking orders that have been completed and submitted for processing appear in this column. These orders are ready for further action and have all necessary information filled out.
Assigned to Operation: Booking orders in this column have been assigned to the operations team for further handling. This stage indicates that the order is ready for operational tasks to be performed.
Assigned to Security Team: This column includes booking orders that require action by the security team.
Task Assigned: Orders in this column have specific tasks assigned to individuals or teams. This stage ensures that the tasks are clearly allocated and understood by the responsible parties.
In Process: This column shows booking orders that are currently being worked on. These orders are actively undergoing the necessary procedures and tasks to be completed.
Completed: Booking orders in this column have finished all required tasks and processes. These orders are marked as completed and no further action is needed.
Hold: This column contains booking orders that are temporarily paused. These orders are on hold due to various reasons and will resume processing once the issues are resolved.
Cancelled: Booking orders that have been discontinued or cancelled appear in this column. These orders will not proceed further in the process.
You can use the filter to enter a Booking ID and view the specific details for that order. This allows you to quickly find and check the status and information of a particular booking.
The filter options include:
Equals: Exact match with the entered value.
Not Equals: Excludes the exact match.
In: Includes values from a specified list.
Not In: Excludes values from a specified list.
Is: Matches a specific attribute or status.
Like: Matches partial or similar values.
To look for a particular Order ID's details, go to:
Booking Order Kanban > Filters > Select the condition > Enter the Order ID
Select the condition.
Enter the Order ID or select from the existing ones and click on Apply filters.
The corresponding Order ID details will show up.
1.2 Task Kanban
The Task Kanban module tracks and manages LM tasks associated with each booking order. Multiple LM tasks are created against a Booking Order ID. Tasks are organized into various stages, allowing efficient monitoring and processing.
Task Kanban Columns:
ToDo: Tasks which are to be done.
In Transit: Tasks which are in transit.
In Process: Tasks which are in process.
Done: Tasks which are completed.
To look for LM tasks under a particular Order ID, go to:
Task Kanban > Filters > Select the condition > Select the Order ID
Select the condition.
Enter the Order ID or select from the existing ones.
The specific status of the LM task will show up.
1.3 Dafza Operation Kanban View
The Dafza Operation Tasks Kanban view manages multiple DPO (Dafza Port Operations) tasks for import and export booking orders, and tracks tasks.
To view Dafza Operation Tasks Kanban, go to:
Dafza Operation Tasks Kanban > Filters > Select condition > Select Task ID
Select on what basis you want to filter, for example, ID.
Select the condition.
Select the Task ID.
The specific task status will show up.
